Case Studies

Real businesses. Real results.

We measure success by what changes for our clients — not by the number of licences sold. Here's what that looks like in practice.

Johannesburg-based law firm
Legal85 staff

The challenge

The firm was running on-premise Exchange and a mix of personal Dropbox accounts for file sharing. Partners couldn't collaborate on documents in real time, and the IT team spent two days a week managing server maintenance and backups.

What we did

We migrated the firm to Google Workspace Business Plus — moving 85 mailboxes, 6 years of email history, and all shared drives to Google in a single weekend migration window. We ran three training sessions for staff and set up custom security policies aligned with their POPIA obligations.

Results

2 days/week

Weekend

Full migration completed with no business disruption

We were nervous about moving 6 years of email. Virtuous made it seamless — we came in Monday morning and everything just worked.

Pretoria retail group
Retail220 staff across 12 stores

The challenge

The group's head office was on Google Workspace but their 12 stores were still using a mix of WhatsApp and personal email for communication. There was no centralised visibility into store operations, and load-shedding was causing constant disruption to their on-premise POS reporting system.

What we did

We extended Google Workspace to all 220 staff, set up a Google Cloud-based reporting pipeline pulling from each store's POS system, and migrated their inventory reporting to BigQuery. All reporting now runs in the cloud — load-shedding no longer affects head office visibility.

Store reporting via BigQuery — load-shedding proof

40%

Reduction in time spent on manual reporting consolidation

Load-shedding used to mean we'd lose visibility into store performance for hours. Now it doesn't matter — everything is in the cloud.

Cape Town financial services firm
Financial Services55 staff

The challenge

The firm needed to migrate from Microsoft 365 to Google Workspace but had strict POPIA and FSCA compliance requirements. Their previous IT provider had told them it wasn't possible to meet those requirements on Google Cloud.

What we did

We designed a Workspace deployment with data residency locked to the Google Cloud Johannesburg Region, implemented DLP policies for sensitive financial data, and produced a compliance mapping document showing how each POPIA requirement was addressed. The migration took three weeks.

Results

Migration from Microsoft 365 — on time, on budget

We were told Google couldn't meet our compliance requirements. Virtuous proved that wrong — and gave us documentation to show our auditors.

Fraud & Risk

Order Fraud Vetting Agent

E-commerce & Retail

Challenge

An online retailer was losing thousands of rands monthly to fraudulent orders — stolen cards, fake addresses, and coordinated account takeovers. Manual review couldn't keep up with order volume.

What we built

We built a Google Cloud-hosted AI agent that intercepts every new order, cross-references the buyer's email, IP, shipping address, and payment fingerprint against fraud signals, then returns a risk score and recommended action — approve, flag for review, or auto-cancel — within 2 seconds.

84%Reduction in fraud losses
2sAverage vetting time per order
20 minDaily manual review time (down from 4 hrs)

Outcome

Fraud losses dropped 84% in the first 90 days. The review team now only sees genuinely ambiguous cases, cutting manual review time from 4 hours to 20 minutes per day.
